Dear Sir or Madam,

I, ABC, and a few of my colleagues are working in a multinational company based out of London. We are having a client meeting for a couple of days in your town in the next month. I am writing this letter to book executive rooms and the conference room.

Let me tell you in more detail. We have been chasing the client for a long time to set a business meeting and now, as it is fixed, we want to make the best out of it. Therefore, I request you to book five rooms, of course, in the executive category. Also, we will be having full-day meetings in the conference room for two full days so I request you to ensure all the charging ports and microphones are fine and working. I, however, will pay a visit to inspect all the arrangements before a week.
